Smudging and open flame Risk Control Policy and Procedures
Toronto Monthly Meeting acknowledges that ceremonies involving some forms of fire are an important part of traditional rituals. Open flame also presents a significant risk to all involved. Damages, in terms of personal injury and property damage, can be devastating. Taking preventative measures is critical. When possible hold the ceremony outdoors - in the backyard if available, or in the park across the street from 60 Lowther Ave.
If smudging, candle-lighting or other sources of open flame are used, a qualified representative of the rental group must be present and ensure that the following Risk Control Policy and Procedures are followed:

If smudging, candle-lighting or other sources of open flame are used, a qualified representative of the rental group must be present and ensure that the following Risk Control Policy and Procedures are followed:
- Before the smudging or candle-lighting begins, ensure the room has suitable ventilation, and that those in attendance are warned to take caution if they have allergies, asthma or other respiratory health concerns.
- Someone from the rental group who is present must be aware of the locations of fire extinguishers, exits, and pull stations, and be aware of the Friends House's Fire Plan details, as described in this pdf: Friends House Fire Plan information for Renters.
- Smudging or open flame is absolutely not permitted on the third floor of the building.
- If a new fire must be struck indoors, only a flint lighter or something similar must be used, not matches.
- Someone from the rental group who is qualified and present must be responsible for the charcoal or smudge bundle/sticks or candle(s), remaining present while there is combustion occurring, and safely extinguishing charcoal or the smudge bundle/sticks or candle(s) afterwards. Care must be taken when moving smudging or lit candles to prevent embers from falling onto the floor or combustible surfaces. Tin cans such as coffee tins are not safe or approved fire-resistant containers.
- Someone from the rental group must ensure that the fire-resistant metal container is positioned away from ornaments, linens, draperies, carpets, books, flammable decorations and other combustible materials.
- Lit candles must be held in a fire-proof container that is protected from wind.
- When distributing handheld candles or tapers, each one must have a fire retardant shield attached. Handheld candles must only be used for a specific length of time. Someone from the group must ensure that they are fully extinguished and stored safely.
- Someone from the rental group must be responsible for disposing of any ash, making sure that the ash is not disposed of until the non-combustible container is cool to the touch. If the ceremony allows for it, water should be used to extinguish and soak the ashes prior to disposal, or at least one day should be waited before disposal. Traditional protocols for the disposal of cold ashes should be followed.
- Any matches or lighters must be stored out of reach of children, in a locked secure area away from view.
