Making a booking

Step 1. Check Availability:

Before making a booking request, check availability of the rooms and times you are interested in on the
Friends House Weekly Diary:

Step 2. Create a booking

a) For Returning Renters:

1. Be sure you have understood the Terms and Conditions page. Completing the booking form indicates that the individual responsible for the booking has completely read and understood it.

2. Check availability of the room(s) you are interested in on the Friends House Weekly Diary, below. To make a booking request, click on  the + symbol on the date and room you wish to book and follow the instructions, noting that:
  • Rooms are booked in 4-hour sessions (not by the hour).
  • Friends House requires one half-hour between separate bookings to allow for cleaning.
  • In the "description" field of the booking form, seating arrangement must be described, which will then be set up prior to the event by Friends House Staff.

NOTE: In addition to the organization's Release form which Friends House already has on file, an Organizer and Participant waiver, which will include contact tracing information, will need to be signed by each participant of the booked event(s) before they enter Friends House. A copy of the Organizer and Participant waiver will be sent to the event organizer, with instructions for distribution to event participants, once the Release has been processed.

3. Once the booking request has been processed, an invoice will be sent. This will confirm the booking. Log into your account at any time to review the status of your booking requests and invoices (it's much easier than searching your email inbox!).

Important: Bookings are not confirmed until the booking form has been received and the invoice has been emailed to you.  Completing the booking form indicates that the individual responsible for the booking has completely read and understood the Terms and Conditions page.

b) For First Time Renters:

(Returning Renters, see below.)

1. Read the Friends House Rental Policy and the Friends House Terms and Conditions.

While COVID-19 protocols are in place (now, and until further notice), the Friends House Terms and Conditions include the Addendum to Friends House Terms and Conditions. Please read this Addendum thoroughly, as it contains important details about what is required to book Friends House at this time.

2. To create an account and make a booking request, click on  the + symbol on the date and room you wish to book and follow the instructions, noting that:

  • Rooms are booked in 4-hour sessions (not by the hour).
  • Friends House requires one half-hour between separate bookings to allow for cleaning.
  • In the "description" field of the booking form, seating arrangement must be described, which will then be set up prior to the event by Friends House Staff.

3. Download the Friends House Rental Release form. After filling it out, signing (with witness), and scanning it, email a copy to: house@torontoquakers.org, along with a description of the group's mandate or mission statement, a link to the group's website (if applicable) and a description of the types of events the space will be used for.

NOTE:
In addition to the Release form, an Organizer and Participant waiver, which will include contact tracing information, will need to be signed by each participant of the booked event(s) before they enter Friends House. A copy of the Organizer and Participant waiver will be sent to the event organizer, with instructions for distribution to event participants, once the Release has been processed.

4. A copy of the processed Rental Release form will be sent back for your records, along with an invoice. This will confirm the booking. Once you have created an account, you may sign in to your account at any time to view the status of your booking requests and invoices (it's much easier than searching your email inbox!).

Important: Bookings are not confirmed until the booking form has been received and the invoice has been emailed to you.  Completing the booking form indicates that the individual responsible for the booking has completely read and understood the Terms and Conditions page.
